MailOptimal supports two methods to connect your Gmail or Google Workspace email accounts:

  1. Sign in with Google (OAuth) – Recommended

  2. App Password (SMTP/IMAP)

We strongly recommend using Sign in with Google (OAuth) because it offers a simpler setup, improved reliability, and doesn't require generating or managing App Passwords.

Connection Methods

Option 1: Sign in with Google (Recommended)

OAuth allows you to securely authorize MailOptimal to access your mailbox without sharing your password.

Benefits

  • One-click secure authentication

  • No App Password required

  • Works with personal Gmail accounts

  • Works with Google Workspace accounts

  • More stable with fewer disconnections

  • Google manages authentication securely


Option 2: App Password

You can also connect your account using Gmail App Passwords.

This method uses SMTP and IMAP authentication and requires:

  • Two-Step Verification enabled on your Google account

  • An App Password generated from your Google Account

While this method works well, it is generally more prone to disconnections than OAuth.

We recommend using this method only if OAuth isn't an option for your organization.


Connecting a Google Workspace Account

If you're using Google Workspace (your company email), your Google Workspace administrator must approve MailOptimal before users can connect their accounts.

This approval only needs to be completed once per Google Workspace domain.

After approval, every user in your organization can connect their mailbox using Sign in with Google without any additional administrator configuration.


Step 1: Open Google Admin Console

Sign in to your Google Workspace Admin Console:

Step 2: Configure a New App

Under Configured Apps, click:

Configure new app


Step 3: Search for MailOptimal

Choose OAuth App Name or Client ID and search using the following Client ID:

Click Search.

You'll see MailOptimal listed as a verified application.

Select MailOptimal.


Step 4: Choose Who Can Access the App

Select:

All users

This allows every user within your Google Workspace domain to connect their mailbox.

If you'd prefer to limit access, you can choose specific Organizational Units instead.

Click Continue.


Step 5: Grant Trusted Access

Choose:

Trusted

This grants MailOptimal permission to request the required Gmail OAuth scopes.

Click Continue.


Step 6: Save the Configuration

Review your settings and save the configuration.

Your Google Workspace domain is now ready.

This configuration only needs to be completed once for your entire organization.


Step 7: Users Can Now Connect Their Accounts

After the administrator has completed the above steps:

  1. Users open MailOptimal.

  2. Navigate to Email Accounts.

  3. Click Connect Email Account.

  4. Choose Google.

  5. Click Continue with Google.

  6. Sign in to their Google Workspace account.

  7. Grant permission.

The account will be connected automatically.

No further administrator action is required.


Connect Using an App Password (Alternative Method)

If you prefer not to use OAuth, you can connect your Gmail account using an App Password.

Before you begin

You'll need:

  • A Gmail or Google Workspace account

  • Two-Step Verification enabled

  • A Google App Password

Steps

  1. Navigate to Email Accounts.

  2. Click Connect Email Account.

  3. Select Google.

  4. Choose App Password.

  5. Enter your email address.

  6. Enter your generated App Password.

  7. Complete the setup.

MailOptimal will verify your SMTP and IMAP connection before adding the account.

Troubleshooting

MailOptimal doesn't appear when searching the Client ID

Verify that you're searching using the exact Client ID:

322273405109-0av65mk34vbr3blmlderjk3t8un1vb0p.apps.googleusercontent.com

Make sure you're selecting OAuth App Name or Client ID when searching.


Users receive "Access blocked" or "App not approved"

This usually means the Google Workspace administrator hasn't completed the one-time approval process.

Ask your administrator to configure MailOptimal in the Google Admin Console before users attempt to connect.


Continue with Google doesn't work

Try the following:

  • Allow browser pop-ups.

  • Use an Incognito window.

  • Clear your browser cache.

  • Ensure third-party cookies aren't blocked.


My account connected successfully but emails aren't sending

Verify that:

  • The account is connected successfully.

  • Email Warmup or Campaign Sending is enabled.

  • Your Google account hasn't reached its daily sending limits.


Frequently Asked Questions

Do I need to configure Google Workspace for every user?

No.

The administrator only needs to configure MailOptimal once per Google Workspace domain.

Every user under that domain can then connect their mailbox using Sign in with Google.


Does MailOptimal store my Google password?

No.

MailOptimal never stores your Google password. OAuth authentication is handled securely by Google.


Can I connect multiple Gmail accounts?

Yes.

You can connect multiple Gmail or Google Workspace accounts to your MailOptimal workspace.


Can I switch from App Password to OAuth later?

Yes.

You can disconnect your existing connection and reconnect using Sign in with Google at any time.
