How to Bulk Connect Email Accounts Using CSV in MailOptimal
MailOptimal allows you to connect multiple email accounts at once using the Bulk Connect Email Accounts feature. Instead of adding email accounts one by one, you can upload a CSV file containing your email credentials and settings, and let MailOptimal handle the rest.
This feature is ideal for agencies and teams managing multiple inboxes at scale.
Where to Find Bulk Connect Email Accounts
Log in to your MailOptimal account
Go to the Email Accounts tab
Click the Bulk Connect Emails button
A popup will appear where you can upload your CSV file
Supported Email Providers
You can bulk connect:
Google / Gmail / Google Workspace
Other SMTP-based email providers
⚠️ Microsoft / Outlook email accounts are not supported via bulk connect
Microsoft accounts require an SSO-based authentication flow and must be connected individually.
Download the Sample CSV Template
Before uploading your data, download the sample CSV template provided in the bulk connect popup.
The template includes all required columns
Headers must remain exactly the same
You can reuse the template for future imports
👉 Use this template to enter your actual email account details and settings.
CSV File Requirements
File format: CSV or Excel
Maximum file size: 10 MB
Maximum accounts per upload: 100 email accounts
For larger batches, split accounts into multiple files
Required Information in the CSV
The CSV template includes fields for:
Email address
SMTP credentials
IMAP credentials
Email provider (Google / Other SMTP)
Warmup and sending preferences
Make sure all credentials are correct to avoid connection failures.
How to Upload and Import Email Accounts
Click Bulk Connect Emails
Upload your completed CSV file (drag & drop or click to upload)
The system will automatically map matching fields
Review the field mappings
Click Import Email Accounts
Once submitted, the import runs in the background.
What Happens After Import?
MailOptimal processes the file asynchronously
You don’t need to stay on the page
Within 5–30 minutes, you’ll receive an email summary with:
Number of successfully connected email accounts
Number of failed connections
Failure reasons for each failed account
This allows you to quickly fix issues and re-import only the failed rows if needed.
Common Reasons for Failed Connections
Incorrect SMTP or IMAP credentials
Unsupported email provider
Network or provider-level authentication issues
Invalid email format
The failure reason in the email report will help you identify and resolve the issue.
Best Practices
Double-check credentials before uploading
Keep column headers unchanged
Import in batches of 100 or fewer accounts
Use Google or SMTP-based providers for bulk imports
Warm up newly connected accounts before running campaigns
