What Is Warmup Mode in MailOptimal & How to Use It
MailOptimal’s Warmup Mode allows you to control how email warm-up behaves based on the health, age, and reputation of your email account. Different email accounts require different warm-up strategies, and Warmup Mode helps you apply the right approach automatically.
MailOptimal offers three warmup modes:
Build
Recover
Maintain
Each mode is designed for a specific sender reputation scenario and gives you granular control over how many warm-up emails are sent daily.
What Is Warmup Mode?
Warmup Mode defines how MailOptimal sends, increases, and randomizes warm-up emails from your mailbox.
Based on the selected mode, MailOptimal automatically manages:
Daily warm-up volume
Engagement intensity (opens, replies, spam recovery actions)
Speed of volume increase or stabilization
Randomized sending behavior (where applicable)
This ensures your email account builds or maintains trust with mailbox providers like Gmail, Outlook, and others—without triggering spam filters.
Warmup Modes Explained
1. Build Mode (For New or Low-Activity Email Accounts)
Best for:
Newly created email accounts
Fresh domains
Email accounts that have never been used for outreach
How it works:
Build mode gradually establishes sender reputation by starting with a low volume of warm-up emails and increasing activity steadily over time.
Key features:
You can define:
Starting daily warm-up volume (baseline)
Daily increment in email count
Emails increase predictably day-by-day
Engagement actions (opens, replies) are performed naturally
You can also set a maximum daily warm-up limit to cap growth safely
Recommended usage:
Use Build mode when warming up a brand-new email account or domain from scratch.
2. Recover Mode (For Accounts With Deliverability Issues)
Best for:
Email accounts landing in spam
Declining open or reply rates
Previously abused or inactive mailboxes
How it works:
Recover mode focuses on restoring sender reputation by performing strong engagement activities while maintaining natural, randomized sending behavior.
Key features:
You can define a daily sender range (e.g., 3–10 emails)
MailOptimal randomly sends warm-up emails within this range each day
Higher engagement intensity (opens, replies, spam recovery actions)
Faster reputation correction compared to Build mode
Ability to define a maximum number of warm-up emails per day
Why randomization matters:
Randomized daily volume helps avoid predictable sending patterns, making activity appear more human-like to mailbox providers.
Recommended usage:
Use Recover mode when your email deliverability has dropped and inbox placement needs improvement.
⚠️ Note: Recover mode improves reputation over time but cannot override poor domain setup, bad content, or aggressive external sending.
3. Maintain Mode (For Healthy, Established Email Accounts)
Best for:
Older email accounts with good reputation
Accounts already used in live outreach campaigns
Domains with consistent inbox placement
How it works:
Maintain mode keeps sender reputation stable by running low, consistent warm-up activity in the background—without increasing volume unnecessarily.
Key features:
Define a sender range (e.g., 2–6 emails per day)
Warm-up emails are sent randomly within this range
Prevents reputation decay over time
Safe to run alongside active campaigns
Control the maximum daily warm-up limit per email account
Recommended usage:
Use Maintain mode once your email account is fully warmed up and performing well.
Controlling Daily Warm-Up Volume
In all warmup modes, MailOptimal allows you to:
Set a maximum number of warm-up emails per day
Prevent sudden spikes in sending activity
Maintain full control over your sending behavior
This ensures your warm-up remains aligned with your outreach strategy and email provider limits.
How to Select or Update Warmup Mode
Go to Email Accounts
Click on the email account you want to configure
Navigate to Settings
Open Warmup Settings
Select a Warmup Mode (Build, Recover, or Maintain)

Best Practices for Warmup Modes
Start with Build mode for all new email accounts (minimum 2–4 weeks)
Switch to Maintain mode once inbox placement stabilizes
Use Recover mode only when deliverability issues are observed
Avoid aggressive cold outreach while running Recover mode
Always combine warm-up with:
Proper SPF, DKIM, and DMARC configuration
Clean, verified lead lists
Human-like email content
